Ready your new organization account for teaching

Onboarding steps

Onboard the organization administrator account:

Complete the professional learning as prompted in the Manage tab.

Add yourself as a teacher:

All organization administrators must have an organization teaching account, in addition to their administrative account, that holds their background check. Add yourself to your organization from the Manage tab > Teachers > Add Teacher.

The email used for the teaching account must be unique and distinct from your administrative email or any other email previously associated with Outschool.

Onboard the organization teaching account:

You’ll receive an invitation at your unique email address to set up the organization teaching account. Once registered, log into the account, visit the Teach tab > Schedule and complete three specified onboarding steps.

Upon completion, don’t forget to share the email address associated with this account with our support team by responding to the welcome email.

Complete this step, and you’ll be ready to fill out your profile, create your first class and invite educators to your team!

Understanding your accounts

Organization administrative account:

This account serves as your public face as an organization, enabling you to edit and list classes, invite educators, create sections, assign educators to those sections, manage enrollments, and communicate with prospective families. Teaching capabilities are not available through this account. Educators can be managed from the Teachers tab, allowing you to monitor their progress through the onboarding process. You’ll only be able to assign sections to an educator when you see all four steps marked with green checkmarks.

Organization teaching account:

Educators conduct classes from their organization teaching accounts. All educators and team members who have access to the administrative account must also have an associated teaching account, ensuring we have background checks for everyone on the platform. Educators are able to manage a class section and communicate with learners. The organization teaching account belongs to the organization’s administrator and can be removed upon request. For this reason, educators will not be able to add their own learners to the parent profile.

Assigning sections

Once you have an approved class, you can start creating sections for enrollment. The section teacher will default to the organization’s account. Before the lesson starts, an onboarded educator must be selected. For group classes, sections can be assigned to a particular educator from the section edit tab, under section teacher.

Converting from an individual educator to an organization

When undergoing teacher conversion, the onboarding process closely mirrors the standard onboarding; however, there are key implications to consider.

  • Account Transition: Once converted, the individual teacher account becomes the organization administrative account, forfeiting teaching capabilities. Applications are generally processed within 5 business days, so be sure to allocate at least one week in your schedule for onboarding after approval to familiarize yourself with the new administrative account.

  • Background Checks: Background checks are not automatically transferred. If you completed a background check within the last 4 months, there's a possibility of reassignment, though this is not guaranteed. Please connect with our support team if you feel this applies.

  • 1-on-1 Enrollments: For existing 1-on-1 enrollments, assign them to your new organization teaching account from the specific enrollment. The teacher selection option is on the right side of the classroom page.
