Outschool Enrollment Guide for Organization-Funded Learners (Charter, Virtual, Microschools & More)

A guide for organizations enrolling learners in Outschool classes using Purchase Orders or Organization admin accounts.

Outschool is an approved vendor for many organizations and supports payments via Purchase Orders (POs) or Organization admin accounts.

Enrollment Options

Option 1: Purchase Orders (POs)

POs allow organizations to request enrollments directly through Outschool’s support team.

Important Notes About PO Enrollments

  • All PO enrollments are processed manually by the Outschool Support team.

  • Class placement depends on availability at the time the PO is received. Availability cannot be guaranteed, even if the family saw an open spot earlier.

How Families Submit PO Requests to Their Organization

Families should provide their organization with:

  • Class name

  • Section day and time

  • Class listing link

  • Email associated with their Outschool account

  • Learner’s name and age

  • Backup class time (recommended)

How Organizations Submit a PO to Outschool

  • Organization name

  • Purchase Order number

  • Parent name

  • Learner’s name and age

  • Email associated with the family’s Outschool account

  • Class name

  • Section day, time, and start date

Full course fee (full payment only; no split payments)

Billing:

Invoices for Purchase Order enrollments are sent the Monday after the section begins, except ongoing and 1:1 tutoring classes, which are billed after the final bulk-enrolled week.


Option 2: Organization Admin Accounts

An Organization admin account allows you to enroll families directly in real time using your organization’s credit card or a PO-funded Outschool wallet.

How to Enroll Using an Organization Admin Account

  1. Search for the class.

  2. Select the desired class section and click Admin Enroll.

  3. Enter the requested learner and family information.

  4. Choose payment method (credit card or OS Wallet)

  5. Complete checkout.

After enrollment:

  • Your organization receives a receipt via email.

  • Parents receive a confirmation and class link.

  • Classes will appear on the family's Outschool account but not on the organization's account.

  • Receipts for purchases made by an admin account can be viewed under the transactions tab.

To request an Organization admin account:

  1. Create an account on Outschool.com.

  2. Complete this form to request your admin account.

  3. Outschool’s team will be in touch with next steps.

Notes on processing organization enrollments by class format

Recurring Weekly Classes

  • Organizations may bulk-enroll learners for up to 18 consecutive weeks.

  • For PO enrollments, be sure to include the number of weeks to enroll and the final class date on the PO.

  • Learners are removed from class after the funded weeks unless a new order is submitted.

  • To continue enrollment with a PO, submit a new PO or have families resume subscription with their own card.

  • To continue enrollment with an organization admin account, complete a new order or have families resume subscription with their own card.

Fixed-Length Classes

  • Organizations may pay for the entire class upfront or enroll for 4–18 weeks at a time.

  • For PO enrollments, be sure to include the number of weeks to enroll and the final class date on the PO.

  • Learners are removed from class after the funded weeks unless a new order is submitted.

  • To continue enrollment with a PO, submit a new PO or have families resume subscription with their own card.

  • To continue enrollment with an organization admin account, complete a new order or have families resume subscription with their own card.

Tutoring via PO

  • For PO enrollments, be sure to include the preferred class day/time plus 1–2 backup options.

  • Organizations can pay for up to 12 weeks at a time.

  • Learners are removed from class after the funded weeks unless a new order is submitted.

  • To continue enrollment with a PO, submit a new PO or have families resume subscription with their own card.

  • To continue enrollment with an organization admin account, complete a new order or have families resume subscription with their own card.


Refunds for Organization-Paid Enrollments

Refunds are always returned to the organization, not the family, regardless of payment method.

Refunds for PO Enrollments

  • If the invoice has already been paid, Outschool will issue a credit memo or refund check.

  • If the invoice has not yet been paid, Outschool will issue an updated invoice reflecting the refund.

Refunds for Credit Card Payments (Admin Account)

  • Refunds are applied directly back to the credit card used for the enrollment.

Refunds for OS Wallet Payments (Admin Account)

Funds are returned to the organization’s Outschool Wallet balance.
