Fixed-length classes support a structured learning experience over a set number of meetings with a defined end date. This format gives learners a consistent schedule and lets you organize class content across a complete sequence of meetings. Depending on the payment option you prefer, families may pay the full enrollment price upfront or in weekly installments.
This article explains how to make changes to a fixed-length class after it is active.
Managing changes to an active fixed-length class
Fixed-length class management may involve making changes to one learner’s enrollment, changing one meeting, or extending or ending the full section. Read on to learn more about these enrollment management actions.
Managing one learner’s fixed-length class enrollment
A learner’s fixed-length class enrollment can be adjusted; use this section to learn how to withdraw one learner from a fixed-length class or how to transfer one learner between sections of a fixed-length class.
Withdrawing a learner from a fixed-length class
Before withdrawing a learner from a fixed-length class, communicate with the family and consider whether another option would better resolve the situation, such as transferring the learner to another section, offering a refund, or suggesting a different class format.
If you withdraw a learner from a fixed-length class, notify the family, explain the reason for the withdrawal, and refund any prepaid meetings that will not be taught. When a learner is withdrawn, they lose access to the fixed-length class and class content.
If you have not yet received a payout for the learner’s fixed-length class enrollment, you can withdraw the learner from the section.
To withdraw a learner from a fixed-length class:
Open the fixed-length class section and go to the Learners tab.
Select the learner’s name.
Click More Actions.
Select Withdraw.
Important Note: Once you have received a payout for that learner’s fixed-length class enrollment, the Withdraw option will no longer appear. Contact Outschool Support and ask to speak to a live representative for assistance with having the learner withdrawn.
Transferring a learner from a fixed-length class
Transfer a learner from a fixed-length class only at the family’s request or with their consent. Transfers are available between sections of the same fixed-length class. A learner cannot be transferred to a different class.
When a family submits a transfer request for a fixed-length class, the request shows the section they selected, including its date and time in your timezone. Transfer requests require your approval and do not move the learner automatically. Confirm the requested fixed-length section with the family before approving the transfer.
To transfer a learner from one fixed-length class section to another:
Open the current fixed-length class section’s Learners tab.
Select the learner you want to transfer.
Select Change enrollment.
Choose the destination fixed-length class section from the dropdown.
Review the selected section, then select Transfer.
Payments from the original fixed-length class enrollment are automatically applied to the destination section.
Canceling a fixed-length class meeting
Teachers are expected to hold fixed-length class meetings as planned whenever possible. For holidays, personal travel, or other planned absences, cancel the affected meeting at least 24 hours before it begins unless you have an extenuating circumstance. Communicate clearly and proactively with enrolled families so they understand whether the meeting will be replaced and what to expect next.
Canceling one meeting removes that scheduled session and its associated lesson. It does not cancel the full fixed-length section or end learner enrollments. Canceling a meeting without rescheduling also reduces the total number of class sessions in the section, so rescheduling is preferred whenever possible.
To cancel a fixed-length class meeting, open the fixed-length class section, select the Edit tab, and choose Cancel meeting for the affected meeting.
If you cancel the meeting without replacing it, issue any required refunds to enrolled families. This includes families who have already paid for the impacted meeting or have a weekly payment scheduled for that meeting. See Refund Policies for Teachers for more information..
Rescheduling a fixed-length class meeting
Teachers are expected to hold fixed-length class meetings as scheduled whenever possible. For holidays, personal travel, or other planned absences, reschedule the affected meeting at least 24 hours before it begins unless you have an extenuating circumstance.
If you need to reschedule a fixed-length class meeting, communicate the change clearly and proactively so enrolled families understand the updated schedule. Keep in mind that families may not observe the same holidays or breaks.
To reschedule a meeting, open the fixed-length class section and select the Edit tab. Then choose the option that matches the change you need to make:
Reschedule meeting with existing lesson: Move the meeting and its associated lesson to a new date and time without changing the remaining schedule.
Reschedule meeting and shift all remaining lessons: Add the rescheduled meeting date and shift the remaining lessons to keep them in order.
Confirm that the updated meeting date, time, and associated lesson appear correctly. Then notify enrolled families directly about the new schedule because they will not receive an automatic email when a fixed-length meeting is rescheduled.
NOTE: If a family cannot attend the new meeting time, they remain eligible for a refund for the impacted meeting.
Extending an in-progress fixed-length class
Before extending a fixed-length class, it’s important to know that while existing learners remain enrolled and can attend added meetings, their original billing schedules do not change. This means they are not charged for the additional meetings.
If you want an existing family to continue paying for the extended fixed-length classes, the family must withdraw the learner and re-enroll. Re-enrolling creates a new billing schedule based on the updated class length. New enrollments follow the updated class length and billing schedule.
To extend an in-progress fixed-length class, open the section’s Edit tab and add the additional meetings to the schedule.
Canceling a fixed-length class section
Canceling a fixed-length class section ends the complete class offering for all enrolled learners.
When Outschool automatically cancels a fixed-length section
Outschool automatically cancels a fixed-length section with no enrollments 24 hours before its scheduled start time, or immediately if all learners are withdrawn or transferred within 24 hours of the first meeting.
If your section is automatically canceled, you will receive an email with a link to restore it. Once restored, the section will not be automatically canceled again.
Exception: If you schedule the section within 72 hours of its start time, Outschool will not automatically cancel it. This gives the section additional time to gain last-minute enrollments.
When Outschool Support needs to cancel a fixed-length class section
The Cancel option will no longer appear after Outschool issues a payout to you for the fixed-length section. This typically occurs:
Within 7–8 days of the section start date for upfront enrollments
After the payout connected to the first weekly installment is issued
If the Cancel option is not visible, contact Outschool Support and ask to speak to a live representative of the support team to have the section canceled.
When you can cancel a fixed-length class section yourself
Cancel the fixed-length section at least 24 hours before the next scheduled meeting unless you have an extenuating circumstance. Before canceling, post a classroom message explaining the cancellation. Once the section is canceled, learners will lose access to the classroom and will no longer receive its notifications.
To cancel a fixed-length class section, go to the section’s Edit tab and select Cancel. This cancels the fixed-length section, withdraws all enrolled learners, and issues the associated refunds.
Note: Setting a fixed-length section to private does not cancel the section or issue refunds.
How family payments work for fixed-length classes
When setting up a fixed-length class, you can offer upfront payment, weekly payment, or both, depending on the class format. You may also offer a lower total price for upfront payment than for weekly installments.
Upfront payments for fixed-length classes
When a family pays upfront for a fixed-length class, the full enrollment price is collected at checkout.
Weekly payments for fixed-length classes
Weekly payments for a fixed-length class are installments toward the full enrollment price, not payments for individual meetings. Families are charged on Sundays until the full fixed-length enrollment price has been paid, including weeks without a scheduled meeting. A canceled or rescheduled meeting does not pause, prorate, or extend the family’s weekly payment schedule. Once the full enrollment price has been paid, weekly charges stop, even if the class is still in progress.
If a fixed-length weekly payment fails, the learner is automatically withdrawn and the family is notified. If a family contacts you after a failed weekly payment, direct them to update their payment method or credits and contact Outschool Support for help reinstating the enrollment.
If you update the fixed-length weekly-payment price after learners enroll, the change applies only to new enrollments. Existing learners continue on the price and payment schedule selected when they enrolled.
