Managing Recurring Weekly Class Enrollments

Learn how to manage meetings, learner enrollments, schedule changes, and section cancellations for recurring weekly classes.

Recurring weekly classes support ongoing learning with the same group of learners without a fixed end date. Learners can continue attending from week to week, while families retain flexibility to manage their enrollment as their schedules or needs change.

This article explains how to manage a recurring weekly class after it is active.

Managing changes to a recurring weekly class

Recurring weekly class management may involve changing one learner’s enrollment, changing one meeting, or ending the full section. Read on to learn more about these enrollment management actions.

Managing one learner’s enrollment in a recurring weekly class

A learner’s recurring weekly enrollment can be adjusted; use this section to learn how to withdraw one learner from a recurring weekly class or how to transfer one learner between sections of a recurring weekly class.

Withdrawing a learner from a recurring weekly class

Before withdrawing a learner from a recurring weekly class, communicate with the family and consider whether another option would better resolve the situation, such as transferring the learner to another section, offering a refund, or suggesting a different class format.

If you withdraw a learner, notify the family, explain the reason for the withdrawal, and refund any prepaid recurring weekly meetings that will not be taught. When the learner is withdrawn, they lose access to the classroom and class content.

If you have not yet received a payout for the learner’s enrollment, you can withdraw the learner from the recurring weekly section.

Follow these steps to withdraw a learner from recurring weekly class:

  1. Open the recurring weekly class section and go to the Learners tab.

  2. Select the learner’s name.

  3. Click More Actions.

  4. Select Withdraw.

Once you have received a payout for that enrollment, the Withdraw option will no longer appear. Please contact Outschool Support and ask to speak to a live representative for assistance in having the learner withdrawn.

Transferring a learner between recurring weekly class sections

Transfer a learner only at the family’s request or with their consent. You can transfer a learner between sections of the same recurring weekly class, but you cannot transfer the learner to a different class.

When a family submits a transfer request, the request shows the recurring weekly section they selected, including its meeting date and time in your timezone. Transfer requests require your approval and do not move the learner automatically. Confirm the requested section with the family before approving the transfer.

Follow these steps to transfer a learner between sections of the same recurring weekly class:

  1. Open the current recurring weekly section’s Learners tab.

  2. Select the learner you want to transfer.

  3. Select Change enrollment.

  4. Choose the destination section from the dropdown.

  5. Review the selected section, then select Transfer.

Payments from the original recurring weekly enrollment are automatically applied to the destination section.

Canceling one meeting in a recurring weekly class

Teachers are expected to hold recurring weekly class meetings as planned whenever possible. For holidays, personal travel, or other planned absences, cancel the affected meeting at least 24 hours before it begins unless you have an extenuating circumstance or the family requested the late change and the teacher communicated it clearly.

Follow the steps below to cancel a weekly recurring class:

  1. Open the recurring weekly class section and select the Edit tab

  2. Find the recurring weekly class meeting you need to cancel.

  3. Select the X next to the meeting time and confirm the cancellation.

  4. Decide whether you will reschedule the recurring weekly class meeting.

    1. If you cancel the meeting without rescheduling it, issue any required refunds to families who have already paid for the impacted meeting.

  5. Notify enrolled families through the classroom and explain whether the meeting will be rescheduled or refunded.

Note: Canceling one meeting in a recurring weekly class removes only that scheduled session. It does not stop the full recurring weekly class section or end learner enrollments.

Rescheduling a meeting in a recurring weekly class

Teachers are expected to hold recurring weekly class meetings as scheduled whenever possible. For holidays, personal travel, or other planned absences, reschedule the affected meeting at least 24 hours before it begins unless you have an extenuating circumstance.

If you need to reschedule a recurring weekly class meeting, communicate the change clearly and proactively so enrolled families understand the updated schedule. Keep in mind that families may not observe the same holidays or breaks.

To reschedule a recurring weekly class meeting to a different date or time, follow these steps:

  1. Open the recurring weekly class section and select the Edit tab

  2. Add the replacement meeting to the recurring weekly class section.

  3. Confirm that the replacement date and time are correct.

  4. Notify enrolled families about the recurring weekly class schedule change.

If the original meeting is the final scheduled meeting in the recurring weekly class section, add the replacement meeting before removing it. The system will not allow a recurring weekly class section with enrolled learners to have no scheduled meetings.

Stopping a recurring weekly section

The Stop button is available when you want to cancel or stop an entire recurring weekly class section.

What to know before stopping a recurring weekly section

Use Stop only when you intend to end the full recurring weekly section. For example, if a recurring weekly section is approaching its first meeting and still has no enrollments, use Stop to end the section before the scheduled meeting time.

Recurring weekly sections with no enrollments are not automatically canceled, so an open section is still treated as a scheduled class you are expected to teach

When you select Stop, the section is scheduled to end at the end of the current week rather than immediately. Any meeting scheduled before that time may remain on the section and still be treated as a meeting you are expected to teach.

Note: Do not select Stop to cancel the final meeting in a recurring weekly section if you intend to reschedule it. Add the replacement meeting before deleting the final existing meeting.

How to stop a recurring weekly section

To stop a full recurring weekly section:

  1. From the recurring weekly course, go to the Summary tab.

  2. Click View Section next to the section you want to stop.

  3. Go to the Edit tab.

  4. Scroll down to Stop.

  5. Select Stop.

What happens after you stop a recurring weekly section

When you select Stop:

  • The recurring weekly section is scheduled to end at the end of the current week.

  • Learners are not charged for any weeks after the section ends.

  • Meetings already scheduled before the end of the current week may remain on the section because Stop does not automatically cancel them.

How recurring weekly class schedule changes affect family billing and refunds

For your families, recurring weekly billing is based on the learner’s scheduled meetings for the enrollment week.

Use the guidance below to determine whether families are charged, refunded, or need a replacement meeting after a recurring weekly schedule change.

  • No recurring weekly class meeting is scheduled for the upcoming week: The family is not charged for that week. Billing resumes when another recurring weekly class meeting is scheduled, as long as the learner remains enrolled.

  • A recurring weekly class meeting is canceled without being rescheduled: Families who were charged for that meeting must be refunded.

  • A canceled recurring weekly class meeting will be rescheduled: Make-up meetings are not added automatically. If the family agrees to a replacement meeting, add the new meeting to the recurring weekly class section instead of issuing a refund.

  • A meeting is added after the weekly charge has processed: The weekly charge covers all meetings in the learner’s current enrollment week. If you add a recurring weekly meeting after the weekly charge has already processed on Sunday, families are not charged for that added meeting, and there is no teacher payout for it.

    • To offer the added meeting as a paid class, create a separate private section, add the meeting time there, and share the link with the family so they can enroll and pay directly.

Note: These billing rules do not apply to prepaid recurring weekly enrollments purchased through public funding programs that use ClassWallet. Families should contact Outschool Support and ask to speak to a live representative for help changing a ClassWallet recurring weekly enrollment.
