Waitlist Feature for Educators

At Outschool, we are committed to providing educators with tools that enhance their teaching experience and help them better connect with learners. For classes that have the waitlist feature enabled, it helps address the challenge of classes not being visible when they are full, providing parents with a clearer view of available times. This eliminates confusion and ensures that parents have accurate information about the availability of class sessions. The waitlist feature allows parents to keep an eye on full-class sections. We will notify families who are on a waitlist when a seat becomes available. This simplifies the process for families to monitor classes they’re interested in and helps educators maintain full classes while tracking demand.

Enabling the Waitlist Feature

When creating a new class or section, educators now have the option to enable or disable the waitlist feature. By default, the waitlist feature is enabled for all group format classes. Chat groups and 1-on-1 classes are not eligible for the waitlist feature. This empowers educators to keep their classes full, efficiently track interest in their classes, and take proactive actions to manage demand.

How to enable the Waitlist feature

  1. Go to the edit tab of your class listing.

  2. Under “Waitlists,” you can enable the feature to be on or off at any time.

Educators have the flexibility to opt out of the waitlist feature for a specific class. If you turn off the waitlist for a class, then you will no longer see waitlisted learners, and waitlisted families will not be notified if a seat is available.

Please note that the Waitlist feature is only visible to parents for sections that haven't started yet.

For learners whose enrollment is paused and you have the waitlist feature turned on for your class, they may lose their seat as learners on the waitlist will be notified when a seat becomes available. If students have paused their enrollment or if their seats have been filled, they will be automatically added to the waitlist.

Learners whose enrollments are paused, whose seats have been filled, and who would like to re-join the class will be automatically added to the waitlist.

How to see who is on your Waitlist

This feature will be displayed alongside the current roster on the classroom page, showing learners who are enrolled, paused, or have completed their enrollment. The waitlist section will provide a clear overview of participants waiting to join the course. You can also see the number of available seats and the total number of learners on the waitlist per section on the class summary view.

Tracking Interest and Managing Classes

If an educator opts into the waitlist feature, they can easily view the learners on the waitlist for each section directly on the classroom page. This valuable information allows educators to gauge interest and make informed decisions about adding new sections or adjusting class sizes. Educators can also increase the class size to accommodate more learners or increase the section size by 1. If an educator wants to add a specific learner, they will need to make the section private so all families on the waitlist are not notified if a seat is added.

Notifications and Communication with Families

Educators who opt into the waitlist feature will receive a weekly notification on Monday mornings, providing updates on learners who have joined the waitlist for specific sections. This ensures educators stay informed and can respond promptly to the demand for their classes. Parents will be notified if a new section is added or a seat becomes available. Note that if parents no longer wish to receive notifications when a seat becomes available, they have the option to remove their learner from the waitlist.

Note that you have the option to add a seat to your class; if you do so, it will send an email to all families; if you want to avoid this, you can set the section to private temporarily, send a private link to specific learners, and turn it back to public once they've joined.

Order and Organization

Learners on the waitlist are ordered by whether they were previously enrolled in this section and then by the time of joining the waitlist. Educators cannot remove learners from the waitlist or alter the order manually.

Data-Driven Decision Making

For educators, the waitlist feature offers valuable insights into the level of interest for specific sections and times. This data empowers educators to make data-driven decisions, such as adding new sections or adjusting class sizes to meet demand.
